Frequently Asked Service Call Questions

What happens after I submit a service request?

Our team reviews the priority you selected, from Emergency to Must Be Scheduled, assigns a technician who covers your town and confirms timing with you. On site, the technician diagnoses the problem, repairs it, tests the equipment and documents the work.

If the fix needs a part that isn’t on the truck, you’ll hear what’s needed and how long it will take before anyone leaves. That’s where the model and serial number on your request pay off: they let us identify parts before the first visit instead of after it.

How will the technician keep my staff and guests safe during the repair?

Harris Warren technicians carry the right tools and protective equipment, follow your site’s safety rules and secure the work area before they start. They’ll tell your manager up front if a station, walk in or section of the kitchen has to be out of use during the repair.

Most repairs happen behind the line, but gas, electrical and refrigerant work each carry their own hazards. Technicians isolate the unit first, then work around your service rather than through it. If a repair would be safer after close, they’ll say so and schedule it.

How is the cost of a service call calculated?

Cost is based on labor time, travel, parts and any trade specific fees, such as a refrigerant reclaim fee. Work outside normal hours may carry overtime rates, which you approve on the request form before the call is scheduled.

The reclaim fee exists because federal rules under Section 608 of the Clean Air Act prohibit venting refrigerant. When a sealed system is opened, the refrigerant has to be recovered with certified equipment and handled properly, which takes time and materials.

Can I get a quote before any work starts?

Yes, for larger repairs and projects. Your technician can give you an estimate to approve before the work goes ahead, so a big repair never shows up as a surprise on the invoice.

An estimate also helps when the unit is old. Because Harris Warren sells and installs new equipment as well as repairing it, you can weigh the repair price against replacement with the same team, rather than getting a quote from one company and a sales pitch from another.

How can I pay for service?

Harris Warren typically accepts purchase orders, corporate billing and credit card payments. The right option depends on your account type, so let us know how your business handles vendor payments when you set up service.

Multisite and regional accounts can usually be billed centrally, which keeps invoices for every location in one place for your accounting team.
